  • Are consumables proprietary or quoted separately?
  • What installation validation and training are included?
  • Does the result software connect to the lab information system?

When I forgot to ask for the total cost per test in 2020, my line-item budget became useless. The analyzer price looked correct; the operating forecast did not. A clinical laboratory quote should show line-item costs for the instrument, the first year of service, and the consumable contract.

The useful question is not always 'what is included.' It is 'what does this device work with.' Orthopedic implants are usually part of a system. A screw from one system may not connect to a rod from another. A navigation platform may require specific instruments and clinical training.

A straightforward vendor can give you that compatibility matrix in writing. If they can't, the risk lands on your team. I've learned to ask that question before the demo, not after the purchase order.
