Step 3: Look Up Regulatory Standing Yourself

In medical devices, regulatory compliance is the floor — and you need to verify it directly. Per FDA guidelines, manufacturers must register their establishments and list their devices in a public database. Here's what many buyers never do: they never actually look it up.

Go to the FDA's establishment registration and device listing database and check three things:

  • The registered company name matches your contract entity.
  • The specific device has a 510(k) clearance, PMA, or De Novo classification number.
  • The intended use statement matches how your facility actually plans to use the device.

For internationally manufactured products, also request ISO 13485 certification and CE marking documentation. Any legitimate supplier can produce these within a day. If you hear "our compliance team will send that over" and nothing arrives, that's your answer.

Checkpoint: Attach a copy of the FDA listing or certificate to your internal approval file — before the contract is signed, not after.

Step 4: Confirm Reimbursement and Coding Support

Now, the step most people forget. It's not a clinical issue — it's a financial one. But it directly affects your hospital's bottom line.

A manufacturer that understands the reimbursement landscape will tell you which CPT codes, ICD-10 codes, and Medicare coverage determinations apply to their products. That's practical information that saves your revenue cycle team a ton of legwork — not a sales pitch.

Ask for the most recent ISO 13485 audit findings. Ask how many product complaints they received last year, what percentage were device-related, and the average closure time. And here's the question most buyers never think to ask: "Can we meet your quality manager?" Not the account manager — the person who signs the batch release paperwork.

That request separates companies with genuine quality cultures from companies with nice PowerPoint slides. It's a simple test. Companies that take quality seriously are usually glad you asked.

Checkpoint: Include quality metrics in your contract: rejection tolerances, measurement methods, and CAPA reporting requirements. If the supplier won't commit to numbers, that's a deal-breaker.

Step 6: Demand Evidence You Can Verify
